Thanks for visiting Foxhole Medals. We're passionate about preserving service history with quality craftsmanship, and we want your experience with us to be straightforward, transparent, and respectful.

These Terms & Conditions explain how we do business — so by using our website or placing an order, you agree to the terms outlined here.


1. Who We Are

Foxhole Medals is an Australian-owned business specialising in replica and original medals, custom medal mounting, engraving, and challenge coin production. When we say "we", "our", or "us", we're referring to Foxhole Medals. When we say "you" or "your", we mean you, the customer.


2. Eligibility to Purchase

Our products and services are available to individuals over the age of 18. By proceeding with a purchase, you confirm that you meet this age requirement. We reserve the right to refuse service or terminate access to users who misrepresent their age.


3. Ordering from Us

When you place an order through our website:

  • You agree to the current advertised production and dispatch timeframe, which is displayed on the site banner, at checkout, and in your order confirmation email.
  • From time to time you may also be asked to confirm this via a tick-box at checkout.
  • Orders are considered confirmed once payment is received. At that point, materials are allocated to your set and a production slot is reserved. For custom jobs (e.g., coins or design work), separate invoicing milestones may apply.

We reserve the right to refuse or cancel any order in the rare case of incorrect pricing, supply issues, or incomplete information.


4. Production Timelines

We do everything in-house and by hand. Our production and dispatch timeline is clearly advertised on every page of the website (including when you place your order), and it varies depending on workload and proximity to commemorative dates such as ANZAC Day and Remembrance Day.

💡 We do not offer change-of-mind cancellations once an order is confirmed. Payment triggers the allocation of parts, ribbon, and a production slot — the work is committed at that point, regardless of whether physical mounting has begun.


5. Priority Orders

Need your order fast? We may offer priority processing during peak periods with a 50% surcharge. Just reach out before ordering and we'll confirm availability.


6. Prices & Payments

All prices are in AUD and include GST unless stated otherwise. Full payment is required before dispatch. We accept credit cards, bank transfer, PayPal, Shop Pay, AMEX, Afterpay and zipPay.


7. Shipping & Risk

We use Australia Post eParcel Express (registered, tracked, signature on delivery).

A fixed shipping fee applies for orders within Australia:

  • $19.95 for low-value small items
  • $22.95 for all other orders

We can't take responsibility for delays caused by Australia Post, incorrect addresses, or natural events.

Once your order is dispatched, risk passes to you as the customer. If something goes missing, we'll do what we can to help — but lost item claims must go through Australia Post.

8. Returns, Repairs & Refunds

All Foxhole work is made to order and treated as custom. We do not accept returns or refunds unless there is a proven fault, or the order is not completed within the advertised timeframe without prior notice from us.

We will repair or replace faulty items if you contact us within 7 days of receipt.

We do not offer refunds for:

  • Change of mind after an order has been confirmed
  • Disappointment with the advertised production timeframe
  • Misreading of website information, banners, or order confirmation emails
  • Finding a lower price elsewhere

9. Custom Orders

Some projects (e.g., challenge coins or large medal groups) follow a three-step process:

  1. Artwork
  2. Sample
  3. Final production

Once artwork is approved, cancellation incurs a fee. Full payment is required before dispatch. If a project is cancelled after quotation acceptance but before artwork approval, a design service and administration fee will be charged to cover costs incurred.


10. Non-Foxhole Medals Sent for Remounting

We're happy to update or remount medals, whether they were originally mounted by us or by another mounter. These orders attract a dismantling, cleaning, and remounting fee, charged per medal, which ensures we can restore the medals properly. Current fees are listed on the relevant product or service page at checkout.


11. Discount Vouchers and Promotional Codes

Discount vouchers and promotional codes ("vouchers") issued by Foxhole Medals are subject to the following:

a) Temporary validity: All vouchers are temporary and intended for limited-time use. The validity period of each voucher will be specified by Foxhole Medals, either directly on the voucher or through promotional materials. In the absence of an expiry or valid-until date, vouchers are revocable at our discretion.

b) Right to revoke: We reserve the right to revoke any voucher without prior notice or consent, regardless of any stated validity period if no expiry date has been specified.

c) Non-transferable: Vouchers are non-transferable and may only be redeemed by the intended recipient. Vouchers may not be exchanged for cash or any other form of credit.

d) ACCC compliance: Foxhole Medals issues vouchers in compliance with the Australian Consumer Law as overseen by the Australian Competition and Consumer Commission. For further information on your rights regarding discount vouchers, please refer to the ACCC's guidelines on temporary promotional discounts (vouchers and codes, not gift cards).


12. Product Descriptions & Images

We do our best to ensure all product descriptions and images are accurate, but we're human. If there's a mistake, we reserve the right to update the listing or cancel the order with a full refund. Images on our website are for illustrative purposes and may not precisely reflect the actual product.


13. Your Privacy

We take your privacy seriously. We only collect the information we need to process your order and never share your personal details without permission. See our Privacy Policy for the finer details.


14. Intellectual Property

All designs, photos, and content on our website are owned by Foxhole Medals. Please don't reuse our stuff without permission.


15. Website Use

We love having you browse, but you agree not to use bots, scraping tools, or misuse our website in any way that affects other users or our platform.


16. Changes to These Terms

We may update these Terms & Conditions from time to time. Any changes will be posted on our website and apply from the date of publication. Your continued use of our website or services after a change is published means you accept the updated terms. We recommend reviewing these Terms each time you place an order.


17. Limitation of Liability

Foxhole Medals' liability is limited to the value of the goods purchased. We are not liable for any indirect, incidental, or consequential damages arising from the use of our products or services.

We do not accept liability for any loss or damage arising from the use of this website, including the presence of viruses or malware.

Nothing in this clause limits any rights you have under the Australian Consumer Law that cannot lawfully be excluded.


17. Disputes & Governing Law

If something goes wrong, we'd prefer to talk it through. If we can't resolve it informally, any disputes will be handled under Tasmanian law. We're based in Tasmania and proud of it.


18. Third-Party Links

Our website may contain links to other websites operated by third parties. These are provided for convenience only — we don't control them, don't endorse them, and aren't responsible for their content, products, or privacy practices. Linking to our website from another site without our permission is not permitted.


19. Force Majeure

If there's an event outside our control, we may need to delay or pause services. This includes (but isn't limited to): natural disasters, fires, floods, pandemics, wars or armed conflicts, government-imposed restrictions, international tariffs or trade controls, postal and freight disruptions (including AusPost strikes or service interruptions), cyber-attacks or major IT outages, and the failure of suppliers or sub-contractors. We'll always try to keep you informed.


20. Your Rights Under Australian Consumer Law

Nothing in these terms excludes, restricts, or modifies your rights under the Australian Consumer Law. You are entitled to a remedy where goods have a major failure, are faulty, not as described, or not fit for the purpose for which they were sold. We comply fully with our obligations under the ACL and do our best to provide quality service at all times.

Change of mind, missed events, finding a lower price elsewhere, and dissatisfaction with the published production timeframe are not failures under the Australian Consumer Law and do not entitle you to a refund.


21. Severability


If any part of these Terms is found to be unenforceable or invalid by a court or regulator, that part will be modified to the minimum extent necessary, or removed, while the remaining terms continue in full force and effect.
