Thanks for visiting Foxhole Medals. We’re passionate about preserving service history with quality craftsmanship, and we want your experience with us to be straightforward, transparent, and respectful.
These Terms & Conditions explain how we do business - so, by using our website or placing an order, you agree to the terms outlined here.
1. Who We Are
Foxhole Medals is an Australian-owned business specialising in replica and original medals, custom medal mounting, engraving, and challenge coin production. When we say “we”, “our”, or “us”, we’re referring to Foxhole Medals. When we say “you” or “your”, we mean you, the customer.
2. Ordering from Us
When you place an order through our website:
- You agree to the current advertised production and dispatch timeframe, which is displayed on the site banner, at checkout, and in your order confirmation email.
- From time to time you may also be asked to confirm this via a tick-box at checkout.
- Orders are considered confirmed once payment is received. At that point, materials are allocated to your set and a production slot is reserved. For custom jobs (e.g., coins or design work), separate invoicing milestones may apply.
We reserve the right to refuse or cancel any order in the rare case of incorrect pricing, supply issues, or incomplete information.
3. Production Timelines
We do everything in-house and by hand. Our dispatch timeline is clearly advertised on every page of the website (including when you place your order), and it varies depending on workload and commemorative dates like ANZAC Day.
💡 We do not offer change-of-mind cancellations once an order is confirmed. Payment triggers the allocation of parts, ribbon, and a production slot - the work is committed at that point, regardless of whether physical mounting has begun.
4. Priority Orders
Need your order fast? We may offer priority processing during peak periods with a 50% surcharge. Just reach out before ordering and we’ll confirm availability.
5. Prices & Payments
All prices are in AUD and include GST unless stated otherwise.
Full payment is required before dispatch. We accept credit cards, bank transfer, PayPal, Shop Pay, AMEX, Afterpay and zipPay.
6. Shipping & Risk
We use Australia Post eParcel Express (registered, tracked, signature on delivery).
We can’t take responsibility for delays caused by Australia Post, incorrect addresses, or natural events.
Once your order is dispatched, risk passes to you as the customer. If something goes missing, we’ll do what we can to help—but lost item claims must go through Australia Post.

7. Returns, Repairs & Refunds
All Foxhole work is made to order and treated as custom. We do not accept returns or refunds unless there is a proven fault, or the order is not completed within the advertised timeframe without prior notice from us.
We will repair or replace faulty items if you contact us within 7 days of receipt.
We do not offer refunds for:
- Change of mind after an order has been confirmed
- Disappointment with the advertised production timeframe
- Misreading of website information, banners, or order confirmation emails
- Finding a lower price elsewhere

8. Custom Orders
Some projects (e.g., challenge coins or large medal groups) follow a three-step process:

Once artwork is approved, cancellation incurs a fee. Full payment is required before dispatch.
9. Product Descriptions & Images
We do our best to ensure all product descriptions and images are accurate, but we’re human. If there’s a mistake, we reserve the right to update the listing or cancel the order with a full refund.
10. Your Privacy
We take your privacy seriously. We only collect the info we need to process your order and never share your personal details without permission. See our Privacy Policy for the finer details.
11. Intellectual Property
All designs, photos, and content on our website are owned by Foxhole Medals. Please don’t reuse our stuff without permission.
12. Website Use
We love having you browse, but you agree not to use bots, scraping tools, or misuse our website in any way that affects other users or our platform.
13. Disputes & Governing Law
If something goes wrong, we’d prefer to talk it through. If we can’t resolve it informally, any disputes will be handled under Tasmanian law. We're based in Hobart and proud of it.
14. Force Majeure
If there’s an event outside our control (floods, fires, AusPost strikes, etc.), we may need to delay or pause services. We’ll always try to keep you informed.
15. Your Rights
Nothing in these terms overrides your rights under Australian Consumer Law. We do our best to comply with all obligations and provide quality service at all times.
